Assets Button and sub-menus

The Assets Button has a sub-menu for you to choose from as your mouse hovers over the button, as you will see there are two columns to choose from. I will be explaining the left side column first.

  • The column on the left allows you to work with both serialized and non-serialized assets, the first Menu going down the list:
  • Stock/Add New Gear (non-serialized):
    •  Please note this is for NON-serialised assets, so this is a one-to-many relationship, an example would be something like Narcan or ammunition, so many of the same items.
    • **Please note** you will only use this Menu the first time you create a NEW, non-serialized asset. 
    • You will need to fill out all required fields, the ones with red * before you can submit the form, that item will then appear as inventory in the stocking location you chose. Now you can freely assign that item to any employee or officer.
  • Assign Gear (non-serialized):
    • Now that we have some inventory in a stocking location from the step above, we can assign that asset to an individual or move it to another stocking location. If you select the Assign Gear from the dropdown menu, you will have 2 options, lets work with Single Asset for now, Asset Packages will be dealt with in another section.
    • Single Asset is selected, you will need to pick the asset from the dropdown list and submit.
    • The next page will take you to the assets details page where you select from which stocking location you want to deduct the quantity and to what employee or officer you are issuing the asset, as well as the reason for the transfer.
    • Information like expiration comes in handy if the asset has a shelf life and the Platform will track that for you and warn you as the date approaches.
    • You can upload a file or take a photo of the asset if you like and it allows for a note field and 2 signature fields.
    • Once you hit the submit button, that asset gets transferred from its stocking location to that individual's profile.
  • Serialized Gear Management (Firearm/Serialized Inventory):
    • This is where you will deal with serialized assets, such as firearms and any serialized equipment, This is a one-to-one relationship, where one serial number only represents a single asset.
    • Once you click the link in the menu you will see a page that will be divided into 2 halves, there will be an Acquisitions column on the left side and a Dispositions column on the right side. The left side will deal with how you acquired a serialized asset into your inventory, and the right side will deal with how you dispositioned a serialized asset out of a stocking location, whether it is issued to an officer, returned to a manufacturer, or destroyed.
    • For Law Enforcement Agencies that do not need to comply with BATFE license requirements, "Simple Acquisition" is the method that will be used most.
    • Once again some required fields need to be filled out, when you book a transaction, the serial-numbered asset will be in the chosen stocking location.

  • Update/Assign Active Location (Serialised Locations):
    • This option allows you to move a serialized asset from one location to another location.
    • Start typing the serial # in and the list below will filter out available serial numbers, you then highlight the serial # you want to move and hit Add.
    • It will populate the serial number or numbers into the field below, you then select a new location you want to move those specific serial numbers to. 
    • You can add a note as a reminder and hit Assign/ Update Button, and the selected assets will now appear in the new location as active
  • Quick Firearm Assignment and Inspection:
    • This page allows you to assign a NEW serialized asset to an employee or officer, this is used to quickly create a new serialized asset and assign it to an employee. You cannot assign a serial number that is already in a stocking location to an employee using this method, you need to "Disposition to Employee" on the Serialized Gear Management page.
    • There are some required fields on the form, this also allows you to do an inspection on the weapon if you select the Annual Inspection. Yes, checkbox.
    • Once you select Submit, the serialized asset is moved from its stocking location to that employee's profile.
